From paid to delivered, on one desk.

An orders list that tells the truth, a packing bench on your phone, and real profit on every parcel.

Order management explainer

Read the transcript

We run a research peptide store ourselves, and our orders used to live in an inbox, a spreadsheet and our heads. So we built one order desk.

Every order climbs one honest ladder: paid, shipped, delivered. At the top sit the paid takings, cost, profit and margin, and an order nobody has paid for never counts. Each parcel is costed from the landed cost of its vials, plus postage and packaging.

Open an order and the customer comes with it: every email, text and message, their profile with past orders, guest checkouts included, and their journey, from the search that found you to the moment they paid.

Every order page also carries a QR code. Scan it at the packing bench and that order opens on your phone, ready for one thumb. Photos go straight from the camera onto the order, so nothing is downloaded and uploaded again. Tick each line against the vial's label, photograph the parcel, and tick Dispatched: the customer is emailed their tracking number. At the post office counter, mark a whole stack of parcels shipped at once.

Vials are reserved the moment an order is placed, so the last one never sells twice, and a cancelled order puts them straight back on the shelf. A full or partial refund comes off the takings. A broken parcel gets a replacement that counts as a cost, never as a sale. And customers can cancel their own order until it's labeled.

Claude drafts customer replies with the order in view, and reads the packing photo to record which batch each vial came from. You read every draft before it goes.

How it works

  1. Step 1: One honest ladder

Paid, shipped and delivered are rungs of one ladder, so a shipped order still counts as paid and nothing is counted twice. The row at the top sums paid orders only: an order nobody has paid for never inflates the takings.

The Vellmar Labs orders list: status pills reading pending 2, paid 7, shipped 2 and delivered 1, a summary row of 6 paid orders totaling $465.82 with cost, profit and a 64% margin, and nine orders below, two of them pending.
  2. Step 2: Real profit on every parcel

Each line is costed at what its vials cost you to land, read from your last stock order. Postage and packaging go underneath, and the profit and margin are what is left.

Order PEP-H7R9GU on the Vellmar Labs admin: two lines totaling $106.97 with their landed vial costs of $17.38 and $7.15, expenses of $4.99 postage and $1.20 packaging, and a profit of $76.25 at a 71.3% margin.
  3. Step 3: The customer comes with the order

Every order opens on four tabs: the order itself, its steps, every email, text and message the customer has had or sent, and their journey, from the search or ad that found you to the moment they paid. The customer card opens their profile with every past order, guest checkouts included.

Order PEP-N5UNVS on its Correspondence tab: a reply box with Draft with Claude, then the shop's reply, the customer's question about shipping and the dispatch email. Over it, the order's Journey tab: arrived from a Google search on a Mac, the pages read, the two vials added, checkout and payment. On the right, the customer card with Customer details and Profile.
  4. Step 4: Phone mode from a QR code

Each order page carries a QR code. Scan it at the packing bench and that order opens on your phone, signing the phone in first if it needs to. Photos go straight from the camera onto the order, with no downloading and uploading, and you can dictate a note instead of typing it.

Order PEP-2AC5V5 on the Vellmar Labs admin with its Prepare on the phone card and QR code highlighted, and a phone beside it showing the same order's Prepare step with both lines ticked off.
  5. Step 5: Each step says what to do

On the phone, Prepared lists every line to tick off against its vial's label, then asks for a photo of the vials together. Packed wants the open box and the sealed one, and Dispatched the labeled parcel and its tracking number. Tick Dispatched and the customer is emailed that it is on its way, with the tracking number when you have one.

  6. Step 6: A whole stack shipped at once

At the post office counter, pick the paid orders you are handing over and mark them shipped together. Each one moves exactly as it would from its own page, and each customer gets their email.

The orders list in Select mode with three paid orders ticked, pending orders without a circle to pick, and a bar at the bottom reading 3 picked of 5 to ship with a Mark 3 shipped button.
  7. Step 7: Put it right on the order

Vials are reserved the moment an order is placed, so the last one can never sell twice, and cancelling puts them straight back on the shelf. A full or partial refund comes off the takings, and a broken parcel gets a replacement that counts as a cost, never as a sale. Customers can cancel their own order until it is labeled.

An order with a $20.00 partial refund recorded under its $49.97 total, leaving $29.97 after refund, and beside it the Send a replacement sheet with one Sterile Diluent picked, Broken in transit chosen and a Create replacement button.
  8. Step 8: Claude drafts, you send

Claude drafts a reply with the customer's orders, tracking and earlier messages in view, and reads the Prepared photo to record which batch each vial came from. Every draft waits for you to read it and press Send.

What it does

  • Find any order fast

Search by order number, name or email, and look at today, yesterday, the last seven days or any dates you pick. The window you used last is the one that opens next time.

  • Swap a size before it ships

Until Dispatched is ticked, a line can be sent as another size. The stock moves with it, and the customer's order page says what it stands in for.

  • Add a vial to an order

Put a free vial or another size on a placed order from its page. The customer sees it on their order, and the totals and stock follow.

  • Every step on the record

Each step keeps who ticked it and when, with its notes and photos, so anyone can pick up an order where someone else left it.

Where AI helps

Drafts and readings you check. Nothing goes out until you press the button.

  • It looks things up before it writes

A reply draft reads this customer's orders, steps and messages, and nobody else's. A fact it cannot find is left in brackets for you to fill in.

  • Batches it cannot match are flagged

The packing photo is read before the parcel leaves. Anything it cannot match to a line is flagged rather than guessed, and you can change any batch by hand.
